How a new asset gets created

Shared statuses

One short list of condition words with a colour each. You create them from the asset form the first time you need one, and everyone uses the same list.

Fictional example

Harbourline Estates: three sites, three teams, one register

Harbourline is a made-up property company with three sites, 1,412 assets and five asset types. Nadia, the Facilities Manager, set up five asset types and a three-word status list, and rarely touches the configuration now. Tom, the IT Asset Lead, works in Assets and adds every laptop, monitor and licence the day it arrives. Ruth, the Finance Partner, has read-only access and opens the dashboard when finance needs a number. She reads it straight from the records Tom already keeps.

Fictional example

Fenmoor College: not just buildings

Fenmoor is a made-up college with two campuses. Its estates team uses the same register for lab equipment, a small fleet of minibuses and its software licences. Each has its own type and fields: calibration due dates for lab kit, MOT and insurance dates for vehicles, and seat counts and renewal dates for licences. The steps are the same as Harbourline's; only the types change.
